Exhibitor Information

First of all, thank you for contributing to our conference. You are a key part of our conference that offers solutions and expertise NWGIS members are looking for. We want to make this a positive experience for you. Please contact the vendor coordinator and/or the planning chair with any questions or concerns.

How To Register– Simply register for the conference and select one of the Exhibitor options. More detail available here.

Layout – Vendors will be in the same ballroom as the dining hall and opening session. This keeps you in the same area as the attendees and not tucked away in a separate room. The downside is you will have to work around some of the key events that are happening in the same ballroom. Booth locations preferences are on a first come first serve basis and have to be confirmed by the Vendor Coordinator.

Lodging – We encourage you to take advantage of the lowered rates secured for Riverhouse on the Deschutes.

Amenities – Northwest GIS will be providing the following amenities:

  • 6-8 foot skirted table
  • Access to power and wi-fi
  • Attendee list

Setup: (Options)

  • Monday Nov 4th (afternoon) – We are awaiting confirmation for the exact hours this will be available. Worst case it may only be available for drop-off.
  • Tuesday Nov 5th 7:00AM-8:30AM OR 12:00PM-5:00PM – Please note, setup is not available 8:30AM-12:00PM for the opening session and keynote.

Exhibitor hours:

  • Tuesday Nov 5th – 12:00PM-5:00PM; 5:30PM-8:00PM (Vendor Social - See details below)
  • Wednesday Nov 6th – 8:30AM-5:00PM.


  • Wednesday (evening) – We are awaiting confirmation for how late this could be available.

Vendor and Map/App Social:

We are setting up a social event from 5:30PM-8:00PM on Tuesday Nov 5 in the ballroom. The intention is to provide you an opportunity to outreach to attendees. We are still working on the details of the event. We will provide drinks and appetizers. It is likely we will be providing optional drink tickets for you to hand out. Other things in the works include lightning round talks from vendors, a raffle, and presentations from Map/App applicants. Shipping (Taken from Riverhouse contract)

Any packages that are sent to RIverouse on the Deschutes for pre-event storage must be sent in the following manner:

1.      The package must be sent to the attention of the guest picking up the package on-site.

2.      On the address label indicate the group event name.

3.      The mailing address is: Riverhouse on the Deschutes Convention Center, 2850 NW Riplling River Court, Bend, Oregon 97703

Packages sent more than three days prior to the event will be subject to $20 per package per day fee. Pallets arriving more than three days prior to the event that are 500 pounds or less will be subject to a $75 per pallet per day fee. Any pallets arriving more than three days prior to the event over 500 pounds will be subject to a $125 per pallet per day fee. The Riverhouse on the Deschutes is not responsible for packages or pallets that are lost, stolen, or damaged. The Riverhouse on the Deschutes does not own a fork lift so if pallets need to be loaded or unloaded a fork lift will need to be provided by the party shipping the pallet.
